Impact English Education Group

09 377 9244

Reference Number: 285-1103787

Office Administrator

Full Time Permanent

Faculty of Commerce

Do you thrive (v.快速成长) in a busy and varied role? Will a job providing support to management, and, teaching and learning staff, excite (v.使兴奋) you?

If so we need to talk to you. The role we have involves providing effective, efficient administrative support and information services to the School of Business. The tasks are diverse (多样化的)and the scope of the role (职务范围) includes specific support to the school management team, meeting management, partner liaison (与兄弟单位的沟通协调), secretarial and general administrative support. You will be responsible for phones, meeting and greeting visitors and providing tea/coffee, providing various administrative supports to the team, office maintenance, typing letters and preparing reports/presentations. In this role you will also be coordinating (协调)and booking meetings/hotels/cars/flights and providing professional customer service at all times. You are the one who will ensure the smooth and efficient running of the office.

You will have experience in a similar role and be a strong and organized administrator with an internal customer service focus. You will have a ‘can-do’ attitude, be proactive (积极主动的), have strong attention to detail and good communication and computer skills.

Great customer service skills and an extensive administration background are a must. You'll be an expert user of the Microsoft Office package and will have well proven time management skills. Your enthusiasm and positive, proactive approach to work will make you a stand-out (出类拔萃的) candidate.

Not everything is as it seems.

可是让Simmy伤心的是,原来Swipe card就是他身上的Employee ID card, 同时同事Robert告诉他:“The company is using something called time and attendance tracking system (考勤计时系统) that can be easily integrated with our ID card program. It includes a barcode scanner (条形码扫描仪) that delivers fast and accurate barcode reading by using a high-performance processor (高级处理器) and an omni-directional scanning pattern(全方位扫描模式). In this way, all employees can clock in and out (打卡进出) each day by holding their ID cards up to the reader. The scanner will read the unique barcode on each employee ID card. This facility (设备) allows the employer to keep accurate record of employees’ time and attendance.”

这时候,一位领导匆匆跑过来,“Simmy, could you help me print these off in triplicate?” 这时候,另一位职员走了过来, “Hey, Simmy, how are you? I heard that you’re from China, a lovely country indeed. Well, these two envelopes to the out-tray please, thanks.” Simmy心里想,“What? What is out-tray?” 正窘迫地拿起电子词典,对面的一位职员Amanda 急匆匆地跑了过来,Simmy意识到更大的灾难要来临了,“hi, Simmy, nice to see you, could you pass me the business school brochure in the booklet holder next to your desk tidy please?” 而且别人在一边等着呢,Simmy只好使用1号紧急应对措施,他捂着肚子、一脸土黄地对Amanda说,“May I use the bathroom?” Amanda似乎理解了,马上说 “Sure, I will get it myself. I am sorry, Simmy.”

Office items

Tape

Electronic Office:

Fax

I will put it here/there.

These documents are typed on a portable.

Printer 除了有打印机的意思之外,还是打印人员之意,the people who make and supply us with company stationery, business cards, etc.

Stationary vs. Stationery

Collide with a stationary caravan

A stationery cupboard

cabinet vs. case, shelf, cupboard

虽然都称为“柜”, 一般是金属制成,有门并有分层抽屉的文件柜子叫做cabinet (a piece of furniture with doors and shelves or drawers used for storing materials or for showing attractive objects), 如filing cabinet 文件柜, display cabinet 陈设橱窗; cupboard一般是木制的柜子,有门,装的可以是各类杂物。

strip vs. stripe

Put the book back on the shelf, please.

Add more paper in the tray of the copier, please.

A: How are you doing, Robert?

Robert?

B: Not too bad, Sim. Yourself?

A: Never be better. I wonder if you know anything about office design.

B: Well, kind of, (it) depends on what your questions are, actually.

A: What would be the first thing to think about?

B. As far as I am concerned, assessing your power needs should come as step one of your office design.

A: You really are hitting the nail. I felt sick of buying lots of office equipments at one go, to be honest. Moreover, they cost me an arm and a leg for the power.

B: Tell you what; you may be able to cut down on your power needs by combining some of your office equipment needs. For example, instead of having a separate printer, fax, copier, and scanner, you could have one multi-function machine that performs all these functions.

A: Wow! That sounds a plan indeed. Thanks a lot.

A: Robert, today is my first day in the office. Is there any suggestion you want to give me? You are already a veteran member here.

B: The most important thing to keep in mind is to bring with you your access swipe card all the time.

A: Really? Is it that important?

B: Correct. I am serious. You need the swipe card to access the gate, clock in or off, and even go to the rest room.

A: What if I forget to take it with me in the rest room?

B: You will be locked up in the toilet. Beyond that thick door, I can’t guarantee that someone may hear your shout if any.

A: Oh, my God! Is that true…

A: I want to send a mail to a VIP of our business, Sim. Could you do me a favor?

B: Sure, tell me how.

A: Great. That’s easy. You just need to hold this page and stack the other three being printed out now behind it, then staple and stuff it in an envelope then mail out.

B: Okay, no problem at all.

A: Hi sim, could you print three copies of this document for me, cos (because) I need to send it to one of our clients in triplicate.

B: Sure thing. I will do it right now.

A: Done. Here you go.

B: Fabulous, mate!

A: This is your coffee sir, double espresso, your favorite “guy”.

B: Thanks Sim. Could you place this docket back to the suspension file for me?

A: No problem. By the way, which tab should I be looking at?

B: Tax record please.

1.8.3 Reading comprehension

‘An office workplace, like so many other products and services in the future, will fail if it only manages to be ordinary’… Adryan Bell, one of the pioneers in the design of work and workplace, uses his new book Re-imagining the Office as a canvas on which to paint a vivid and, at times challenging, image of the future office.

Through six inter-related themes, efficiency, effectiveness, engagement, expression, e-work and experience, he encourages the reader to challenge and re-invent many existing long-standing workplace conventions. These include basic aspects like office design and image, workplace status and symbolism, dependency on desks, use of alternative work settings and locations, territorialism, use of paper, exploitation of technology and flexibility with time. More fundamentally, he encourages a rethinking of the whole concept and location of the workplace – and its role in supporting our work and the organizations we work for.

The book is both backward as well as forwarding looking as the author remarks: “we can learn from the past. And we should not throw everything completely away in boldly pursuing, as we must do, the new future.

Re-imagining the Office is a call to arms for all those concerned with workplace design; with the engagement of employees; with the practical task of nurturing the culture of knowledge, innovation and transformation that are now seen as key to future competitiveness in business and the delivery of relevant and sustainable services in the public sector.
